Project Overview
We built Reformee Pilates as a studio operations and booking platform for a Reformer Pilates studio in Novi Sad - not a marketing brochure. The product unifies a branded Serbian public site, member accounts with online reservations, and a full Studio Admin for day-to-day operations: weekly schedule, attendance, class programs, instructors, member packages, late-cancellation rules, and basic occupancy statistics.
Members book and cancel classes with clear seat availability. Studio staff manage capacity, attendance status, and recurring weekly templates from one place, with transactional email for booking and cancellation flows and a PWA-ready install experience for mobile use.
The Challenge
Small fitness studios often juggle spreadsheets, messaging apps, and ad-hoc booking - leading to double bookings, unclear capacity, and weak cancellation discipline. Reformee needed a single system that felt on-brand for guests while giving the studio reliable operational control.
Key challenges
- Prevent overbooking and duplicate reservations under concurrent demand
- Support late-cancellation and attendance workflows without losing history
- Give admins practical tools for schedule templates, programs, instructors, and member packages
- Ship a calm, mobile-first Serbian UX with SEO-ready public pages and installable PWA basics
Our Solution
We delivered a Next.js App Router application with Supabase for auth, database, and row-level security, plus server-side booking rules so capacity and uniqueness are enforced beyond the UI. Resend powers transactional email (welcome, booking confirmations, cancellations, admin session-cancel notices). The admin panel focuses on clarity and speed: dashboard metrics, day/week schedule with attendance, session CRUD, class types, instructors, user CRM-lite with packages and infractions, and configurable studio settings.
Studio Admin & schedule operations
Admins work from a dedicated panel: weekly schedule and attendance, session detail with reservation statuses, recurring templates, programs, instructors, and member management - so the studio runs booking as an operations product, not a contact form.
Key Features
- For members: Browse the weekly schedule, see available seats, book and cancel classes, manage profile and reservation history
- For studio admins: Dashboard, day/week schedule, mark attendance, create and edit sessions, weekly templates, class programs, instructors, users, packages, late-cancel settings, basic stats
- Booking integrity: Capacity-aware reservations, duplicate booking prevention, statuses instead of hard deletes (reserved, attended, cancelled, late cancel, no-show)
- Communications: Transactional email for signup/welcome, booking, cancellation, and admin-driven session cancel notices
- Public brand surface: SEO-friendly marketing pages, gallery, news, legal pages - paired with the ops core
- PWA-ready: Manifest, icons, and install prompt so members can add the studio app to their home screen
Member booking & brand
Technical Implementation
- Web: Next.js (App Router), React, TypeScript, Tailwind CSS, shadcn/ui
- Backend & auth: Supabase Auth, Postgres, Row Level Security, server actions for protected booking and admin flows
- Email: Resend for transactional notifications; Supabase custom auth email templates
- Hosting: Vercel with environment-based configuration
- Product extras: PWA manifest, SEO metadata / sitemap foundation, Europe/Belgrade scheduling context
Results & Impact
The platform was delivered as a production-ready MVP ready for studio launch: one system for public brand, member booking, and studio operations - with booking rules designed to stay correct under concurrent use and an admin experience built for daily studio work.
